Bidding Requirements

Today, EANM counts more than 20,000 members. The EANM Annual Congress welcomes around 7,000 participants from all over Europe and many other countries.

EANM’s headquarters are located in Vienna. Congress organisation is conducted in-house, with some help from preferred and long-term contracted suppliers for abstract handling, registration/housing/social programme, A/V, graphics, printing, freight forwarding etc. Local PCOs, DMCs or other agencies will not be used.

The venues for the EANM Annual Congress are secured through 2030. We will begin accepting bids in the spring of 2026 for hosting the event starting in 2031.

Venue and City Qualifications

In general terms, a city suitable to host the EANM Annual Congress should:

  • Have a proven track record of hosting large-scale congresses.
  • Offer a state-of-the-art congress centre with full technical equipment and ample exhibition space – preferably on one level.
  • Be available on suitable dates (the congress dates cannot be moved to other times of the year than those listed).
  • Be accessible by rail, road, and air (with a maximum one-hour commute train ride from the airport to the city centre).
  • Provide a sufficient number of 3-, 4- and 5-star hotels accessible within 15 minutes from the congress centre by public transport.
  • Have a well-developed (public) transportation infrastructure.
  • Have the capacity for EANM and participating companies to host social events in attractive off-site venues.
  • Demonstrate that the city/the government is willing to offer support to host the EANM Annual Congress.
Bidding Guidelines
  • The request for a proposal will be sent to all EANM members. These may contact their Convention Bureaus or the applicable congress centre for assistance with submitting the proposals.
  • EANM has set up a professional secretariat in Vienna to organise the congresses of the association on its own. Therefore, proposals by ‘Professional Congress Organizers’ (PCOs) and ‘Destination Management Companies’ (DMCs) or other agencies will NOT be accepted.
  • To base our decision on objective criteria, we have assembled questions that we ask you to answer in the given order.
  • As EANM is trying to ensure its congresses are considered ‘Green Meetings’, we are assessing the environmental awareness of the destinations we choose and have incorporated a few questions related to this topic.
Procedure & Decision-Making Process
  • The EANM Executive Office will evaluate all proposals and shortlist potential suitable venues.
  • According to the EANM Bylaws, the EANM Board decides which future venues EANM will collaborate with.
